Is this you? Customer Success and Operations Coordinator

JP Michel
Welcome to SparkPath! We’re on a mission to help people discover meaningful careers by shifting how education approaches career exploration. We’re looking for a capable Operations & Revenue Coordinator to join our team.

In this pivotal role, you’ll own and operate the core systems that keep SparkPath running: sales, operations, billing, customer success, shipping, conferences, and internal workflows. You’ll work closely with our Founder, JP Michel, not by managing his calendar or inbox, but by removing operational friction, addressing customer needs, and running sales systems to drive revenue. If you’re detail-oriented, calm under pressure, comfortable working close to revenue, and find satisfaction in making complex operations run cleanly behind the scenes, this role may be a strong fit.

What You’ll be Doing In this Role
  • Billing and Invoicing: Manage the full billing lifecycle in QBO (estimates, invoices, recurring billing, payments, churn)

  • Revenue Operations: Maintain revenue accuracy, payment follow-ups, and coordination with the accountant

  • Sales Operations & Customer Support: Own inbound inquiries, account setup, access management, onboarding coordination, and CRM hygiene

  • Customer Discovery & Sales Intelligence: Research institutional customers and prepare pricing context and insights for sales conversations

  • Conferences & On-Site Events: Own conference logistics end-to-end, including materials, booth operations, ; sales support, and post-event invoicing and follow-up

  • Admin, Reporting & Systems: Maintain SOPs, Loom documentation, internal data exports, usage audits, and monthly/annual reporting

  • Shipping, Fulfillment & Inventory: Manage physical order fulfillment, shipping, inventory tracking, procurement, and customer shipping support (at our Ottawa office, or from your home)

          • You’re comfortable owning processes end-to-end.

          • You enjoy detail-heavy work where accuracy matters.

          • You’re calm and grounded when things get busy or ambiguous.

          • You’re proactive and don’t wait to be told what to fix.

          • You understand how systems interact and prevent downstream errors.

          • You communicate clearly and close loops consistently.

          • You care about meaningful work in education and career development.

          • You are a self-starter, self-reliant and super responsible.

          • You are not afraid to try new things and new approaches that have not been done before, it’s excites you and makes you grow.

              • Experience in operations, sales support, billing, customer success, and/or administration.

              • Comfort working with revenue-adjacent tasks (invoicing, payments, follow-ups).

                What the Role is Not

                • A traditional Executive Assistant role.

                • For those who dislike operational or financial work.

                • For people who need rigid structure or constant direction.

                • For those who prefer visibility over behind-the-scenes impact.

                • This role may not be the right fit for those who seek frequent social interaction or rapid role changes. Success for this role will come from consistency, depth, and behind-the-scenes ownership, rather than external recognition.
